Dealer Management System documentation
Everything you need to install, set up and run Dealer Management System.
Getting started
1
Requirements
What the server needs: PHP 8, MySQL or MariaDB, a few extensions and writable folders - ordinary cPanel hosting is enough.
2
New installation
An empty database, the install package and install.php: what each step asks for and what the installer sets up for you.
3
The licence key and addon keys
Activating the key, what each licence state means, the offline grace period, moving to another domain, and premium addon keys.
4
The admin panel - first steps
A tour of the sidebar, the top bar and the dashboard, the settings worth doing on day one, the theme and the public front page.
Running the business
5
Users, roles and sign-in rules
Staff and dealer logins, roles with fine-grained permissions, allowed sign-in hours, days and networks, login history and activity logs.
6
Brands, products and serial numbers
Brands, products with MRP, dealer and sub-dealer prices and warranty terms, serial numbers from bulk import to sale, and free gift items.
7
Price lists
Prepare new prices as a draft, publish them onto every product in one step, notify every dealer, and see what dealers see at their own tier.
8
Invoices and payments
Bill dealers with product, free-item and custom lines, serials, tax, discount and delivery; record payments; print or send by e-mail, SMS or WhatsApp.
9
The dealer portal and the front page
What dealers see after signing in, how they get an account or apply for a dealership, the approval settings, and the public front page.
10
Tickets, notifications and newsletters
Support tickets with priority, assignment and attachments; notifications to every panel, all dealers or one person; e-mail, SMS and WhatsApp newsletters.
11
E-mail, SMS and WhatsApp
PHP mail or SMTP with diagnostics and a mail queue, editable e-mail templates, SMS gateway presets, WhatsApp link or API mode, message templates.
Keeping it running
12
Updating to a new version
Upload the update package and run db_update.php, what the Database update needed screen means, or update in one click with the Updates addon.
13
Scheduled jobs (cron)
One cron line runs the mail queue, the licence check, warranty and overdue reminders, scheduled backups and the sync clean-up.
14
Troubleshooting
The problems that really come up - error pages, licence screens, addons that will not start, e-mail, uploads - and what to do.
Addons
15
Dealer Network
Dealer profiles, applications from your website, approval and suspension, price tiers, credit limits, dealer logins and the welcome message.
16
Sub-Dealers
Dealers add their own sub-dealers from the portal; you approve them, cap how many each dealer may have and set their price tier.
17
Dealer Customers
Dealers keep their own customers and sell from their stock on invoices with their own logo; the warranty starts at the sale.
18
Accounts Management
A running ledger per dealer: invoices, confirmed payments, adjustments, a payment queue, statements and filterable transactions.
19
Warranty & Guarantee
Warranty cards per serial, when the cover starts, expiry reminders, and dealer claims that end in a replacement serial.
20
Hearing Aid Repair - Lab
Head office's repair bench: dealers send aids in, staff book their own, and every job gets a number, a timeline, charges, a slip and a tracking page.
21
Hearing Aid Repair - Dealer
The dealer's own repair book for walk-in customers, with the dealer's name on the slip and tracking page, private links, own domain and short links.
22
Earmould / Earshell - Lab
Earmould and earshell orders from dealers to the lab: types with usual prices, each ear told apart, statuses, slips and a public tracking page.
23
Earmould / Earshell - Dealer
The dealer's own earmould and earshell orders for their own customers, run to delivery under the dealer's name with their own slip and tracking link.
24
Online & Offline Sync
Keep working when the internet drops: pages open from the device, key forms are saved offline and sync by themselves when the connection returns.
25
Payment Gateway
bKash, Nagad, Rocket, bank, cash and card-link payment methods, and the dealer's page for paying an invoice and reporting the transaction ID.
26
Discounts & Coupons
Percentage or fixed discount codes with dates, limits and a minimum, for everyone or one dealer, applied on the invoice.
27
Backup & Restore
Back up the database and uploads by hand or on a schedule, copy them to FTP, Google Drive and more, and restore with a safety backup taken first.
28
Data Export & Import
Export any list to CSV or JSON, and import files with a column mapper and a dry run that shows what would change before anything does.
29
Languages
English and Bengali with a switch in both panels, a self-filling still-to-do list, and new languages and wording changes from the admin panel.
30
Footer Branding
Replace head office's footer credit and links with your own, chosen per panel, or show nothing at all, with one button back to the original.
31
Script & Addon Updates
Check for and install script updates from the admin panel, with a backup sent to the License Center before any file is replaced.
