When the dollar moves or a manufacturer changes its prices, you change many prices at once and every dealer needs to know. A price list does both: you prepare the new prices in peace as a draft, then one Publish puts them on every product and tells every dealer.

The pages need the permission Create & publish price lists. They live under Admin → Price List.

The list of price lists

Admin → Price List shows every list you have made, with its version, effective date, how many products it covers, when it was published and its status:

StatusMeaning
DraftBeing prepared. Dealers do not see it.
PublishedThe live list. Only one list is live at a time.
ArchivedAn earlier list, kept for the record.

Beside each list: Edit; for a draft or archived list also Publish and × to delete; for the live list Archive. The live list cannot be deleted; archive it first.

The card Currently live on the right shows the title, version, effective date and publishing time of the live list, with an Open button.

Making a new list

Fill in the card New price list on the right:

  • Title (required), for example Price List 2026;
  • Version, for example v1.0 or July revision;
  • Effective from: today by default;
  • Start from: Current product prices, or Copy of an earlier list;
  • Note to dealers: shown at the top of the dealer's price list and in the e-mail.

Press Create the list. The list starts as a draft holding one row for every active product, and opens straight away for editing.

Editing the prices

The edit page has two cards.

Details holds the title, version, effective date and the note to dealers.

Prices has one row per product, sorted by brand: MRP, Dealer and Sub-dealer price boxes, a short Note per product (for example new model or limited stock), and a grey Live now column with the MRP and dealer price the product has today, so you see at a glance what changes. Type into the filter box to find a product quickly.

Press Save prices as often as you like. Nothing reaches the products or the dealers until you publish.

Products added after the list was made are not in it. Add new products pulls in every active product the list does not cover yet, at its current prices.

Publishing

At the bottom of a draft, the card Ready to go live? has a tick box Also e-mail every dealer (on by default) and the button Publish this price list. Publish on the list page does the same and always sends the e-mail.

Publishing does four things at once:

  1. Copies the MRP, dealer and sub-dealer price of every row onto the product itself. New invoices use these prices from this moment.
  2. Archives the list that was live before.
  3. Marks this list Published, with the time.
  4. Sends every dealer a Price list updated notification on their dashboard bell, and, when the tick is on, the price list e-mail to every active dealer who has an e-mail address. The message at the end tells you how many e-mails went out.

The prices change the moment you publish, whatever date is in Effective from. The date is shown to dealers for information. Publish on the day the prices really start.

Editing a published list later changes only the list, not the products: the page says so in a blue note. Publish again, or better, make a new list from a copy of it, so your history stays readable.

The wording of the e-mail is the price list template on Admin → E-mail Setup, see E-mail, SMS and WhatsApp.

What the dealer sees

Dealer portal → Price List shows the live list:

  • the title, the version, the effective date and the publishing date, and your note to dealers;
  • a chip Your tier: with the dealer's price tier;
  • one table per brand with product, model / SKU, warranty (and guarantee), MRP, the dealer's own price column (Dealer price, Sub-dealer price or MRP, by their tier) and the row note;
  • a search box and a Print button, so a dealer can print the list for the shop counter.

A dealer never sees the other tiers' prices or your purchase price. Products that are inactive or removed drop out of the list.

When no list has been published yet, the page shows the current product prices with the line No price list has been published yet. The same happens after you archive the live list without publishing another one.

Tips

  • Change prices through a price list, not on the product form. The product form changes the price on new invoices, but the dealer's price list keeps showing the published list until the next one goes out.
  • Use Version and the note to explain why prices moved; dealers read the note before the numbers.
  • Discount codes for particular dealers belong in the Coupon addon, not in a separate price list. See Discounts & Coupons.
