Dealer Network
On this page
The Dealer Network addon is the whole dealer side of the business in one place: the dealers you sell to, the sub-dealers they run, and the customers those shops sell to. It is for a centre or importer that supplies hearing aids to other shops, not only to its own patients.
It used to be three addons (Dealer, Sub-Dealer and Dealer Customer Management). Any of those three keys unlocks the whole addon now, and your data is untouched.
Switching it on
Dealer Network is a premium addon, so it must be in your licence.
- Buy it from the card on Admin → Addons (Buy this addon), or from the License Center at https://license.faruk.bd. A paid order arrives by itself at the next licence check.
- If you have the key from somewhere else, open License, paste it under Addon keys and press Add the key. Check now on the same page asks the License Center at once.
- On Admin → Addons, press Enable on the Dealer Network Addons card.
Switching it off hides every dealer screen, the dealer portal and the dealer application form. The data stays in the database.
Where to find it
| Place | What is there |
|---|---|
| Network → Dealers | The list of dealers and sub-dealers, the add/edit form, and each dealer's page. |
| Dealer Network Addons → Sub-Dealers | Every sub-dealer, grouped by parent dealer, and the ones waiting for approval. |
| Dealer Network Addons → Dealer Customers | The customers of all your dealers, and Who sells the most. |
| Dealer Network Addons → Retail Sales | Every retail invoice your dealers have raised. |
| Dealer Network Addons → Settings | The addon's settings (below). |
| Settings → Dealer portal | The application form switches, and Dealers can see central stock levels. |
Adding a dealer
Network → Dealers → + Add a dealer. The form asks for Dealer / shop name, Dealer code (left empty, it is made from the prefix, like DLR-0007), Owner / contact person, e-mail, phone, WhatsApp, address, Trade licence no., Type (Dealer or Sub-dealer), Parent dealer, Price tier, Credit limit, Opening balance, Status, a Logo and Internal notes.
- Price tier decides which price the dealer pays on an invoice: Dealer price, Sub-dealer price or MRP.
- Credit limit shows on the dealer's dashboard as credit used and left.
- Status is Pending, Active, Suspended or Inactive.
- Dealer login (optional): give a Login e-mail and a Password of at least 6 characters, and the dealer gets their own portal account.
When the dealer is saved, a welcome goes out by e-mail, WhatsApp and a notification in their panel, carrying their sign-in details if you made a login. If WhatsApp cannot send by itself, the panel shows a link: Open WhatsApp to send ... their welcome.
In the dealer list, View opens the dealer's page: invoices, payments, what is outstanding, allocated serials, warranties, portal users, sub-dealers and tickets. New invoice starts a dealer invoice from there (see Invoices). Approve, Suspend and Activate change the status from the list.
Dealers who apply themselves
With Let new dealers apply from the public site on (Settings → Dealer portal), a shop can fill in the application at dealer/register.php. A new application waits under Network → Dealers with the Pending status, and the dashboard shows Dealer applications waiting for approval.
An application is approved by itself only when New applications must be approved by an admin is off and the addon setting Approve new dealer applications automatically is on. Otherwise you press Approve.
Settings
Dealer Network Addons → Settings, or Admin → Addons → Settings on the card.
| Setting | What it does |
|---|---|
| Approve new dealer applications automatically | See above. Off by default. |
| Dealer code prefix | Start of every dealer code. Default DLR. |
| Ask for a trade licence number on the application form | Makes the field required on the public form. |
| Default credit limit for a new dealer | Given to every dealer who applies online. |
| Use sub-dealers | Off hides every sub-dealer screen. |
| Dealers may create their own sub-dealers | Adds My Sub-Dealers to the dealer portal. |
| A new sub-dealer needs admin approval before it goes live | A sub-dealer made by a dealer waits for you. |
| Maximum sub-dealers per dealer | 0 means unlimited. |
| Sub-dealer code prefix | Default SUB, giving codes like SUB-0003. |
| Price tier applied to new sub-dealers | Sub-dealer price, Dealer price or MRP. |
| Let dealers keep their own customers and sell to them | Off hides the customer list, retail sales and invoice branding. |
| Let dealers put their own logo and shop name on the invoice | Allows dealer branding on retail invoices. |
| Start the customer warranty when the dealer sells the unit | The warranty card starts on the retail sale date, so shelf time does not count against the customer. Needs the Warranty & Guarantee addon. |
| Head office can see every dealer's customers | Shows Dealer Customers and Retail Sales to your staff. |
| Retail invoice prefix | Default RT. A retail invoice reads like RT-DLR0007-0001. |
Sub-dealers
A dealer with My Sub-Dealers in the portal presses + Add a sub-dealer, fills in the shop details and, if they want, a Portal login (optional). When approval is needed, the sub-dealer shows under Sub-Dealers → Waiting for approval in your panel with an Approve button. Suspend and Activate work from All sub-dealers; Open in Dealers shows them in the main dealer list.
Dealer customers and retail sales
This is how a dealer sells a hearing aid to an end customer from stock you allocated to them.
- In the portal, the dealer opens My Customers → + Add a customer and saves the name with a phone number or an e-mail. A phone number already on their list is refused, so files do not get duplicated.
- Retail Sales → + New sale: they choose the customer, the date and Paid by (Cash, bKash, Nagad, Rocket, Card, Bank transfer, or their own words).
- Under What was sold they add lines. A line can take a serial number from the stock allocated to them; a serial already sold on another retail invoice is not offered again.
- They fill in Discount, Tax / VAT and Paid now (or press Mark fully paid) and press Save the sale.
- The invoice opens ready to Print. Its status is paid, partial or unpaid from the amounts. When the warranty setting is on, each serial gets its warranty card and the card number is printed on the line.
From the dealer's Retail Sales list a sale can be cancelled (Cancel; it stays on record with a cancelled mark) or deleted.
Invoice branding (from My Customers) lets a dealer set Shop name on the invoice, a Logo and a Footer line, with a preview. Left empty, the dealer's name, the logo on their dealer record and your own invoice footer are used.
The dealer portal
Dealers sign in at dealer/login.php. Their sidebar holds Dashboard; Products and Price List; Invoices, Warranty and Claims; the addon pages (My Sub-Dealers, My Customers, Retail Sales, and those of other addons such as Repair Lab); and Support Tickets, Notifications and My Profile. The dashboard shows their invoices, the stock allocated to them, their credit, the current price list and your latest notices.
Tips
- Pair this addon with Accounts Management for dealer ledgers and statements, Payment Gateway to let dealers pay online, and Discount & Coupon for dealer codes.
